FAQ - Circulation Department

How Do I Checkout a Book?

All books, documents, and CML materials check out at the Circulation Department at the front of the library.  Media materials may check out from either the main Circulation Department or from the Media Department on the 2nd    floor.  To checkout an item you will need to show your current student ID card, a TexShare card, an MSU alumni card or an area user card.  Check out length for different materials vary. Click here to view the different circulation policies http://library.mwsu.edu/policies/circpol.asp

How Can I Renew My Materials?

Library materials can be renewed in two (2) ways.  You may bring your material to the Circulation Department and have the student assistant at the desk renew your items for you.  You must bring the items themselves and your ID card.  If you prefer you may renew materials online from any computer with Internet access.  Go to the library’s online catalog Voyager at

http://tejas.mwsu.edu

Click on the <Patron> icon on the menu bar at the top of the screen and sign into your personal patron information by typing your social security number and last name into the required fields.  You will see the items that are checked out to you listed on the page and by placing a check mark in the small boxes to the right of the titles, you may renew an item.   Be sure to check to see what your new due date is.

You must renew the item before it becomes overdue.  If the item is overdue you will have to come to the Circulation Department to renew the item.

Different materials have different renewal options.  Some items can be renewed five (5) times and some items can only be renewed twice (2) and some items cannot be renewed at all.  Media equipment cannot be renewed because there are a very limited number of them. Click here to view the different circulation policies http://library.mwsu.edu/policies/circpol.asp

You cannot renew an item if you have any overdue items, any fine that you have not paid, or if the item is on hold for someone else.

If you have any questions please call the head of the Circulation Department at 940-397-4176.

Does the Library Charge Fines for Books/Media/Equipment That Are Late Being Returned?

Yes.  And some of them (especially the equipment fines) can be fairly steep.

Click here to view the various fine policies at http://library.mwsu.edu/policies/circpol.asp

The library is not responsible for notifying borrowers that materials are overdue, but the library sends a notice as a courtesy.  We send emails, regular mails, and we also list them on your patron record.  The library is NOT responsible for late or non-delivery of notices.  If you feel that you have been charged a fine unjustly you may appeal the fine by discussing it with the head of the Circulation Department in person at the library or by phone at 940-397-4176.

How Can I Put a HOLD or RECALL on a Book That Is Checked Out?

If a item that you want is already checked out to another patron you may place a hold or a recall on that item.  A Hold on a book notifies the patron who has the book that someone else needs the item.  The original patron can still keep the book until it is time to renew it but then he must turn it in when it comes do.  Hopefully he will return it immediately and you will then be notified on your Personal Patron Record that the book you needed is now available.  It will be held for you at the Circulation Department for a specified time before being returned to the shelves.  A Recall on a book notifies the patron who has the book that someone else needs the item.  The original patron is given a new shortened due date and told he must return the book earlier than originally posted. If he does not return it by the new due date, larger fines that normal will be charged to his record.  Hopefully he will return it immediately and you will then be notified on your Personal Patron Record that the book you needed is now available.  It will be held for you at the Circulation Department for a specified time before being returned to the shelves.

To place either a hold or a recall, go to the library’s online catalog Voyager http://tejas.mwsu.edu.   Click on the <Patron> icon on the menu bar at the top of the screen and sign into your personal patron information by typing your social security number and last name into the required fields.  Then click on the <Search> icon and locate the record for the item that you need to place a hold or request on. Once that item’s record is on your screen click on the icon <Request ILL-Hold>.  From the drop down menu select either Hold or Recall and then fill in the information on the form that appears.

The form will ask for your barcode, which is your social security number.  When the item is returned to the Circulation Department you will be notified.  You may also check your Personal Patron Record to see whether the item has come in.  It will show under the category of Request Information.

How Can I Get a TexShare Library Card to Use at Other Libraries in Texas?

TexShare Cards are one of the 3 (three) major benefits of the TexShare program that are available to students, staff, and faculty at MSU.  You can pick up a TexShare card at the Circulation Department between 7:45 am and 4:30 pm weekdays. The card is valid for the current semester and must be renewed in person each semester.   This card will allow you to check out materials at most other libraries in Texas including the Wichita Falls Public Library.  Rules will vary at different libraries but you can check for each library's rules on line at http://www.TexShare.edu/generalinfo/about/programs.html.

In addition to the library cards, the TexShare program also helps pay for over 50 databases for both academic and public libraries to use, and coordinates a courier service for the entire state of Texas that helps promote the use of Interlibrary Loan materials.

Can I Use the Library If I
Am Not a MSU Student?

If you are not a student, staff or faculty member of Moffett Library you are still encouraged to use our library.  You can use the Voyager online catalog to locate materials such as books or government documents   We have a collection of over one thousand (1,000) magazines, journals, and newspapers that you can read while here as well as nearly five thousand (5,000) electronic full text journals.  We have copier machines if you need to make copies of our materials and most of our electronic resources can be emailed or downloaded.  These things can all be used inside the building and if you need to borrow some of our books you may do so if you have a TexShare card, an MSU alumni card or an area user card.

To get a TexShare card you can apply at your home library.  There is usually no charge for the TexShare card.  An example would be either the Wichita Falls Public Library or Vernon College.

If you are alumni of Midwestern State University, you might purchase an Alumni Card at the MSU Alumni Association.  http://alumni.mwsu.edu/presite/membership.htm

If you do not have either a TexShare card or an Alumni Card you may purchase an Area User card for $25.00 at the Circulation Department.    The card is nonrefundable and is good for one (1) year from the date of purchase.

With any of these methods you are allowed to check out a maximum of ten (10) books at any one time and these cards do not allow you to use the Interlibrary Loan system.

Who Knows What Materials I Have Checked Out?

Although the online computer system that we use can track who has a book checked during the time it is physically checked out, the staff of the library will not give out that information to anyone without the proper authority.  You should be equally careful about your information when you look it up on the online Voyager computer.  After you have pulled up your patron information, please remember to either exit the entire system by closing the web or logoff the patron account itself by clicking logoff at the bottom of the screen.  If not the system will sign you off within fifteen (15) minutes.  It would be safer however if you remember to signoff each time you pull up your patron record.

Moffett Library has a formal written policy governing giving out information about the accounts of our users.  Please review it on our website. http://library.mwsu.edu/policies/accesspol.asp

How Can I See What My Professor Has On Reserve for My Class?

The materials your professor has put on reserve are stored at the Circulation Desk.  These materials may be photocopies of articles; or chapters out of books that the professor wants you to read; it might be books from our collection that they want everyone in the class to read; or it might be his own personal books.  A list of each item the professor puts on his reserve is created in the Voyager online catalog http://tejas.mwsu.edu and can be located by searching under either the professor’s name, the course name or the department name. Click on the tab labeled  [Course Reserve] and selected one of the three (3) options.

The items on reserve may have an actual Library of Congress call number or they may have a shortened call number such as Y-10 or X-33.   Whatever the call number is, take it over to the Circulation Department desk and the student on duty will pull the item for you.   Most items on reserve cannot be checked out for longer than a few hours.  Be sure to listen when the Circulation student tells you how long you make keep the item.  Course reserve items also appear in the regular online catalog so it is possible that you might come across an item that says it is shelved at Circulation Reserve as you do a regular search.

How Can I Put Items on Reserve For My Classes? (For Faculty Members)

A faculty member may put items on reserve at the library so that each member of their classes has an equal chance to view the material.  You are urged to put any library item (book or video) we own on reserve if you are going to make it a required reading/viewing. You can put photocopies of journal articles on reserve although we do not allow the actual journal to be placed on reserve. You can also bring in your personal books, videos, or other items to be put on reserve.

Each semester, the head of the Circulation Department will notify you of any items you already have on reserve.  Items must be renewed each semester in accordance with the copyright laws of the United States.   There are various ways to put items on reserve.

If you already have a reserve, you will be sent a list of your reserve items along with a notification of how many times they were used the previous semester at the end of the current semester.  If you want to keep them on reserve for the next semester you need to only sent the list back to the head of the Circulation with any changes you want made to it. If you do not sent the list back or get in touch with the head of the department the reserve items will be returned to the regular stacks or send back to you at your department.

If you want to start a new reserve you may use the online reserve form listed on the library FORMS WEB PAGE  http://library.mwsu.edu/forms/   or on the Circulation Department web page at http://library.mwsu.edu/departments/circulation.asp     Please print a copy of the form, fill in your information, be sure and sign the form and then send it to the Head of Circulation at Moffett Room 104.

You may also pick up blank copies of the forms at the Circulation Desk to fill out or you may fill out the top part of the form and attach it to a printed list of your own.   Drop off the photocopies or personal items that you want on your reserve and if possible please pull any books or videos from our own collection. At this time because of staffing limitations, we are unable to make the photocopies for you. The library staff will pull books or videos if necessary but it will slow down the process.    If an item is already checked out, we will put a RECALL on it and place it on reserve as soon as it comes back.  Please allow at least two (2) days (M-F) to activate the reserve.  You can view all items that you have on reserve on the library webpage.

If you have any questions please call the head of the Circulation Department at 940-397-4176.

How Do I Purchase a Copy Card For Use in the Library's Copiers?

Moffett Library has two (2) photocopier machines that are located in the center of the 1st floor.   There are also three (3) microfiche copiers located in the Periodicals Department although these three (3) machines work only with dimes (10 cents).   The regular photocopiers make a single copy for ten (10) cents a page.  However, you may purchase a Copy Card at the Circulation Department that allows you to make copies for only eight (8) cents a piece.   The cards are available for ten dollars ($10.00) each.   Once you purchase a card you can continue to add value to it whenever you want.

How Do I Request a Search for a Missing Item?

When you are looking for a book or other item you begin your search with the Voyager online catalog.   If you need assistance using it, ask for help at the Reference Desk.

After you locate the item in Voyager be sure to mark down the Location, Call Number, and Status.  If the Status says that the item is Available, go to the location mentioned and look for the item.  If you cannot find it you have two (2) options.  You may ask for immediate help at either the Reference Department or the Circulation Department and someone will try to go with you to locate the material.  If they do not find the item they will put it into the system as a missing book.  If you prefer you may just list the book as missing using the Missing Item Form listed on our FORMS WEB PAGE at  http://library.mwsu.edu/forms/missingform.asp

If you wish to be notified if the item is located, fill in the bottom part of the form.

How Do I Request a Study Carrel?

The library has a limited number of small one (1) person study carrels located on the 2nd floor.  They may be used to keep library books that you have checked out, personal books and papers, equipment, etc. in a private room under lock and key without having to carry the items around with you.   When you come into the library, you check out your key at the Circulation Department and at the end of the day you leave the key there.  The study carrels are reserved mainly for graduate students who have signed up for thesis work but graduate assistants and faculty may also apply if there are vacancies.  Inquire if there is any vacancy at the Circulation Department.  If there is no current vacancy your name will be placed on a waiting list and you will be notified if a carrel comes open.

There are group study carrels on the 2nd floor close to the individual study rooms and in the Media Department.  Those in the Media area are available as long as no one needs them for the use of media. These rooms are not reserved but are available on a first come, first serve basis.  If a single person is using them, a library staff member can ask the occupant to relocate.

Does the Library Have Word Processing Software/Printers on Any of Their Computers?

Moffett Library does not have any word processing software like Microsoft Office on the public terminals.  We also do not have any public terminals with printers attached.  If you are a student at MSU you can go out the exit gate at the Circulation Department and immediately turn right to use one of the many campus computer lab.  The lab is restricted to students, staff, and faculty of Midwestern State University.  The lab has both word processing software and printers.

How Can I Find Out if There Are Any Jobs for Students Available in the Library?

Jobs for student workers usually open up at the beginning of a semester.  You can ask at the different service desks or check with the Career Management Center (CMC).  The CMC frequently receives inquires from students looking for on campus jobs.  They have a campus website at http://web.mwsu.edu/career/ or email them at careermanagement@mwsu.edu or call them at 397-4215.  Student jobs in the library pay minimum wage and have a maximum of 20 hours a week although some library departments have jobs that are less than 20 hours.  Jobs may include some night and weekend work.  Our student policy manual is listed on the library's webpage at http://library.mwsu.edu/policies/studentpol.asp  If you decide to apply for a student position you will be asked to fill out an application form which is available at each department which has a job opening.  New forms are required each semester.   Jobs in the computer lab in the front of the library, or the foreign language lab inside the library, are  not considered library student jobs.  Please check with the specific departments about jobs in those areas.
